Who we are
CivicProbe is a service of Kabware Services Ltd, a company registered in England and Wales. When you join the CivicProbe waitlist, Kabware Services Ltd acts as the data controller for your personal data.

What data we collect
When you register for early access, we collect only the following information:
- Your email address
- Your role type (persona selection, for example planning consultancy, policy team)
- An optional short message describing what you would use CivicProbe for
For payments, card details are handled by Stripe. CivicProbe stores billing contact details, selected package, organisation/name if supplied, and Stripe checkout/webhook identifiers; we do not store card numbers.
How we use your data
Your data is used solely to follow up about a walkthrough and pilot fit, and to notify you when CivicProbe early access becomes available. We will not send you marketing emails, newsletters, or promotional content unrelated to your early access request.
We use your role selection to understand which user types are interested in CivicProbe so that we can prioritise the features most relevant to early access users.
Where your data is stored
Your data is stored in secure service systems within the United Kingdom. It is protected by encryption in transit and at rest.
How long we keep your data
We retain your waitlist data until the CivicProbe early access programme launches. At that point, your data will either be migrated to a full CivicProbe user account, with your consent, or deleted.
You may request deletion of your data at any time before this point. See the Right to erasure section below.
Your right to erasure
You have the right to request that we delete your personal data at any time. To do so, email privacy@kabware.com from the address you used to register. We will confirm deletion within 30 days.
You also have the right to access the data we hold about you, correct inaccurate data, and object to processing. To exercise any of these rights, contact us at the address above.
Third party sharing
We use secure hosting and operational monitoring providers to run the service, keep essential service logs, and process analytics you consent to. We use Stripe as a service provider and payment processor for checkout, billing, and fraud prevention. They process relevant personal data only to provide those services under their contractual and legal obligations.
We do not sell, rent, or trade your email address or any other information you provide.
Your data is not used for advertising purposes and is not passed to any advertising networks or data brokers.
Cookies and analytics
CivicProbe offers optional anonymous analytics. Browser analytics remains off unless you choose Allow analytics. If allowed, we use product-scoped random visitor and session identifiers, page paths, campaign labels, referrer hostname, device/browser operational data, and named interaction milestones to understand acquisition and improve the service.
We do not send research terms, evidence or source content, exported data, form entries, names, email addresses, payment details, access keys, or full URL query strings to analytics. Our operational monitoring provider processes this telemetry within our service environment. Essential server request logs are retained for security and reliability whether or not browser analytics is allowed.
You can change your choice or withdraw analytics consent at any time using the Analytics settings control. Withdrawal stops browser telemetry and clears the product-scoped analytics identifiers from this browser.
Legal basis for processing
We process your data on the basis of your consent, given when you submit the waitlist form. You may withdraw this consent at any time by requesting deletion of your data as described above.
